How to Implement EDI for Retail Compliance Without Breaking the Bank
Electronic Data Interchange (EDI) is the standard method by which retailers and their suppliers exchange business documents — purchase orders, invoices, advance ship notices, and more. If you're selling to major retailers like Walmart, Best Buy, or Costco, EDI compliance is non-negotiable.
What EDI Actually Is
EDI replaces paper and email documents with standardized electronic formats that flow directly between computer systems. When a retailer issues a PO through EDI, it appears in your system without any manual data entry. When you ship and send an ASN (Advance Ship Notice) via EDI, the retailer's system is automatically updated. The goal is zero manual document handling.
The Most Common EDI Documents
For retail vendors, the core EDI transactions are: 850 (Purchase Order), 855 (PO Acknowledgment), 856 (Advance Ship Notice), 810 (Invoice), and 832 (Price/Sales Catalog). Different retailers require different subsets — confirm your specific requirements with each trading partner.
EDI Implementation Options
Full EDI implementation (connecting your ERP directly to your trading partners' EDI networks) is the most scalable approach but requires technical implementation. Web-based EDI services (SPS Commerce, DiCentral, TrueCommerce) provide a portal where you manually handle EDI documents without technical integration — higher per-transaction cost but lower upfront investment. For small vendors starting with one or two retail accounts, web-based EDI is the practical starting point.
Chargeback Prevention Is the ROI of EDI
Most retailers issue chargebacks for non-compliance — late ASNs, incorrect labels, document errors. These chargebacks can run 1–5% of invoice value. Accurate EDI compliance eliminates most chargeback exposure, which typically pays for the EDI investment many times over.
