How to Manage Supplier Relationships for Better Pricing and Priority
Most businesses treat supplier relationships as purely transactional — they send a PO, the supplier sends product, and communication happens only when something goes wrong. The businesses with the best supplier relationships get better pricing, shorter lead times, and priority access when supply is tight.
Communicate More Than You Have To
Share your demand forecasts with your key suppliers quarterly. Let them know when your volume is likely to increase. When a supplier can plan ahead, they can prioritize your production and hold raw material inventory for your orders. Suppliers who feel like partners invest in the relationship differently than suppliers who feel like vendors.
Pay on Time, Every Time
This seems obvious but it's surprisingly rare. Suppliers talk to each other and they have preferred customers — the ones who pay reliably and on time. When supply gets tight, preferred customers get their orders filled first.
Consolidate Your Supplier Base
Every supplier you add to your roster increases complexity. If you can consolidate volume with fewer suppliers, each relationship becomes more valuable to both parties. A supplier who represents 10% of your volume is a commodity. One who represents 40% is a strategic partner.
Visit Key Suppliers When Possible
A factory visit builds a relationship no email can replicate. It signals that you're a serious partner, gives you visibility into their operations and quality processes, and creates the personal connection that gets your calls answered when problems arise.
The fix: Identify your top three suppliers by volume. Schedule a quarterly business review with each one. Share your growth plans and ask for their input on how to manage the relationship better.
