You shipped inventory to Walmart Fulfillment Services (WFS). The carrier shows the shipment as delivered, but Seller Center does not appear to reflect all the inventory you expected. Or Walmart may have received part of the shipment while some units remain unexplained.
For Canadian Walmart Marketplace sellers, the useful first step is to determine where the records stop matching before assuming inventory has been lost or that a reimbursement is owed. This guide provides a practical reconciliation process for WFS receiving discrepancies.
1. Delivered does not always mean available inventory
Separate carrier delivery, WFS receiving, item-level processing and inventory becoming available for sale. A carrier proof of delivery is useful evidence, but by itself it does not establish that every unit has been received into sellable WFS inventory.
Start by recording the current shipment status and the quantities Seller Center shows for each affected SKU.
2. Identify the exact discrepancy
Define the problem precisely: a shipment may still be awaiting receiving, be partially received, show a quantity difference, contain inventory that is received but unavailable, or show a later adjustment. These situations may require different follow-up.
Avoid grouping everything under “missing inventory.” Write down what the records actually show and the date you checked them.
3. Reconcile planned, shipped and received quantities
Build a SKU-level reconciliation showing planned quantity, quantity physically shipped, quantity currently shown as received and the unexplained difference. Keep separate inbound shipments separate until each one has been reconciled.
If you are new to the programme, the Walmart WFS Canada guide covers the broader operating model, inventory planning and inbound responsibilities.
4. Build the evidence file
Depending on the shipment and issue, useful working records may include the WFS inbound order or shipment ID, affected SKU and product identifiers, planned and shipped quantities, carrier tracking, proof of delivery, bill of lading when applicable, packing list, carton or pallet counts, purchase or supplier documentation, Seller Center records and previous support case numbers.
The goal is not to collect documents indiscriminately. Create a clear trail showing what was expected, what shipped, what was delivered and what the marketplace currently records. Check the current evidence requirements in your Canadian Seller Center account before submitting a case.
5. Check for setup and receiving issues
A receiving discrepancy is not always proof of physically lost inventory. Review whether shipment quantities, product identifiers, barcodes, labels, carton information, damaged inventory, freight documentation or the delivery destination could explain the difference.
Then review subsequent inventory activity. A discrepancy on one report may be explained by a later receipt or adjustment.
6. Create a clean case record
For each unresolved item, record the shipment ID, SKU, expected quantity, shipped quantity, quantity currently recorded as received and the unexplained difference. Attach or reference the supporting records that apply to that specific discrepancy.
Track the support case number, date opened, evidence submitted, latest response, owner, next follow-up and eventual resolution. This becomes increasingly important when multiple shipments or SKUs are under review.
7. Verify any financial resolution
Do not assume that an inventory discrepancy automatically qualifies for reimbursement. Eligibility and resolution depend on the circumstances and the applicable Walmart policy and investigation.
If the outcome includes a reimbursement or financial adjustment, verify that it appears in the relevant payment or settlement records. Keep “inventory discrepancy identified” separate from “financial resolution confirmed.” For a broader evidence framework, use the marketplace reimbursement review checklist or explore reimbursement review support.
8. Prevent the next reconciliation problem
Before each WFS shipment leaves your warehouse or supplier, retain the shipment ID, SKU and product identifiers, quantity by SKU, carton count, packing list, carrier information, bill of lading when applicable and delivery confirmation. After receiving, compare those records with the WFS inventory records.
For brands operating Walmart alongside other channels, assign an owner for inbound shipment creation, receiving review, inventory monitoring, cases and settlement reconciliation. If the recurring Walmart work needs an owner, see Walmart Marketplace and WFS management support or inventory and fulfilment support.
